Sharing in SyncGaze
Forms, Docs and Sheets share the same way: add people by email, give the whole organisation access in one step, or make a link — within the rules your admin sets.
Add people
- Open the form, document or workbook and choose Share.
- Type an email address (Forms accepts several, comma separated) and pick a role.
- They get an email. When they sign in with that address, the file appears under Shared with me.
| Role | Can do |
|---|---|
| Editor | View and change it. |
| Commenter | View it and add comments — no editing. |
| Viewer | View only. |
| Owner | Everything, including sharing and deleting. Only one owner; they can hand it over. |
People outside your organisation
Anyone with an email address can be invited — a partner, a client, a Gmail or gzora.com address — if your organisation allows it (Sharing policy). They're labelled External, sign in with their own SyncGaze account, and edit your file where it lives; their edits are saved in your organisation.
Everyone in your organisation
In the share dialog, turn on Everyone in your organisation and choose view, comment or edit. Every mailbox in your organisation can then open it — no invites. It shows up in their Shared with me list.
Share links
- Forms — the form link, QR code, embed code and pre-filled links; choose who can respond.
- Docs — “Anyone with the link can view / comment”, with an optional password and expiry.
- Sheets — a link gives the signed-in person the role you picked and opens the workbook.
Your admin can limit links to your organisation or turn them off; the share dialog tells you when that's the case.
Troubleshooting
| Problem | Cause | Fix |
|---|---|---|
| “Your organisation does not allow sharing with people outside it” | The admin's policy. | Ask your admin, or share with someone inside the organisation. |
| The person can't see the file | Signed in with a different address than the one invited. | Sign in with the invited email (Switch account), or invite the address they use. |
| “Your organisation has turned off public links” | Admin policy. | Add people by email instead. |
| A commenter can't type in the document | Commenters can't edit. | Ask the owner to make them an editor. |
