Sharing policy

Decide, for the whole organisation, who your people may share Forms, Docs and Sheets with. Go to Dashboard → Settings → Sharing. Owners of files can share less than this, never more.

Sharing with people outside the organisation

“Outside” means an email address that isn't on one of your organisation's domains.

OptionWhat happens
Anyone (default)People can invite any email address. Outside people are marked External in share dialogs.
Only these domainsOutside invites work only for the domains you list (e.g. partner.com, client.in). Others are refused with a message naming the allowed domains.
No one outsideOnly addresses on your own domains can be added.
OptionDocs & Sheets linksForms
Anyone with the link (default)Share links work for everyone who has them.Owners choose who can respond.
Only signed-in people from the organisationLinks open only for your organisation's mailboxes. At least “Only people in my organisation”.
OffNo new links can be made and existing links stop working.Only invited people can respond.

Who can change itThe organisation account, or a team member with Change login policy, disclaimer, signature and branding (Team). Changes reach every app within about a minute. People already added keep their access — remove them from the file's share dialog if needed.

Everyone in the organisation

Separately from this policy, a file owner can share a form, document or workbook with everyone in the organisation in one step. Every mailbox of your organisation then finds it under Shared with me.
