Migration & bulk import

Moving a whole team to SyncGaze? Create all the mailboxes at once, and bring existing mail across from your old provider.

Bulk-create mailboxes

Instead of adding mailboxes one by one, use Bulk import. Upload a spreadsheet (CSV) of addresses and names; SyncGaze creates every mailbox and returns the sign-in details to hand out.

  1. Open Mailboxes → Bulk import and download the template.
  2. Fill in each person's address, display name and (optionally) storage.
  3. Upload it — you'll see a preview to confirm before anything is created.
  4. Confirm; the mailboxes are created and credentials are shown/exported.

Check your seats firstBulk import needs enough seats for every mailbox. Add seats in Billing → Seats before importing a large list.

Migrate mail from another provider

To bring across existing mail (from Google Workspace, Microsoft 365, or any IMAP host), use the Migration tools. SyncGaze connects to the old mailbox and copies its folders and messages into the new one, so nothing is left behind.

  1. Verify your domain first (so the new addresses exist) — see Domains & DNS.
  2. Create the destination mailboxes (bulk import is fine).
  3. Start a migration: provide the source mailbox's connection details (or connect via the provider's sign-in), pick folders, and run it.
  4. When it's done, switch your domain's MX to SyncGaze so new mail arrives here.

Switch MX lastCopy the old mail first, then point your MX at SyncGaze. If you switch MX before migrating, new mail arrives here while old mail is still on the other side — that's fine, but do the copy before you cancel the old account. Remove the old provider's MX so it doesn't intercept mail (multiple-MX fix).

Troubleshooting
