Set up email for your business

Give everyone on your team an address at your own domain. This is the full path — creating your account, choosing a plan, paying, verifying your phone, adding your domain, and creating your first mailbox.

Payment comes before the verification codeOn a business account you choose your plan and pay first; the WhatsApp code is sent right after payment succeeds. That's expected — it ties your new company account to the plan you paid for.

Step 1. Create your account

Go to the sign-up page and choose Business. Enter your company details and the email address that will become the owner/admin login.

  1. 1Company name — becomes your organisation in SyncGaze. You can rename it later in the dashboard.
  2. 2Work email — this is the owner/admin login. Use a real address you can receive mail at; a temporary one is fine until your domain is set up.
  3. 3Continue — saves your details and takes you to plan selection. Nothing is charged yet.

An account with this email already existsThat address is already registered.Sign in instead, or use “Forgot password”. Use a different email if this is a new company.
Password doesn't meet requirementsNeeds 8+ characters with upper, lower, a number and a symbol.Add the missing character types. Avoid using your email in the password.
All fields are requiredOne of company, name, email, phone or password is blank.Fill every field — all are needed to create the account.

Step 2. Choose your plan

Pick the plan that fits your team. Plans are priced per mailbox (seat) — choose how many mailboxes you need now; you can add more any time. Have a coupon? Apply it here.

  1. 1Billing cycle — switch between monthly and yearly. Yearly is billed once and works out cheaper per month.
  2. 2Select a plan — Business is the common choice; it adds Outlook/Thunderbird (IMAP/SMTP) access and mail rules. Compare the full list on the Plans page.
  3. 3Seats & coupon — set how many mailboxes you're paying for now, and apply a coupon if you have one. The price updates before you pay.

A 100%-off coupon skips paymentIf your coupon covers the full amount, you go straight to phone verification — no card needed. The rest of the steps are identical.

Step 3. Pay securely

Payment is handled by Razorpay. You can pay by card, UPI, netbanking or wallet. SyncGaze never sees your card details.

  1. 1Amount — matches the plan, seats and billing cycle you chose. Check it before paying.
  2. 2Pay — once payment succeeds, the window closes and SyncGaze sends your verification code automatically. Don't close the tab while it finishes.
If you see…What it meansHow to fix it
Payment failed / declinedThe bank declined the charge.Try another method (UPI usually works), or check with your bank. You are not charged for a failed attempt.
Money left my account but nothing happenedThe charge is authorised but the confirmation hasn't reached us yet.Wait a minute and refresh — confirmations can lag. If your account still isn't created, contact support with your payment reference; the charge is safe and will be reconciled or refunded.

Step 4. Verify your phone

We send a 6-digit code to your phone on WhatsApp. Enter it to confirm the number and finish creating your account.

  1. 1Enter the 6 digits from the WhatsApp message. The code is valid for a short time — if it expires, use Resend.
  2. 2Verify & finish — this creates your company and your admin login, then signs you straight in to the dashboard.
If you see…What it meansHow to fix it
No WhatsApp message arrivesWrong number, no WhatsApp on it, or a delivery delay.Wait 30 seconds, then tap Resend. Make sure the number has WhatsApp and can receive messages. Codes go to WhatsApp, not SMS.
Invalid verification codeThe digits don't match.Re-type carefully. After 5 wrong tries the session locks — start again from sign-in.
Session expired. Please start againToo long passed since payment (the code window closed).Sign in with the email and password you just set — your paid account already exists; you don't pay again.
Too many attemptsThe code was entered wrong too many times.Wait a moment and request a fresh code, or sign in directly.

Your account is liveYou're now signed in to the dashboard as the admin. The next three steps connect your own domain so mail arrives at you@yourcompany.com.

Step 5. Add your domain

In the dashboard, open Domains and add the domain you want to use for email. Enter it as a bare domain — yourcompany.com, not an email address.

  1. 1Domain field — type your domain only, e.g. northwind.com. If you paste an email address, SyncGaze keeps the part after the @.
  2. 2Add domain — this registers the domain and immediately shows you the DNS records to set up (next step).

Domain already addedThis domain is already on an account.If it's yours, it's already listed — open it. If someone else claimed it, contact support to release it.

Step 6. Set up DNS & verify

To route mail to SyncGaze, add a few DNS records at your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.). SyncGaze shows you the exact values — copy each one across, then click Verify.

  1. 1MX record — the most important one. It points your domain's mail to mail.syncgaze.in. Add exactly one, and remove any MX records left over from a previous provider (see the warning below).
  2. 2Value column — copy each value exactly. Your registrar may call “Host” the “Name”; use @ for the root domain.
  3. 3SPF & DMARC (TXT) — SPF proves SyncGaze may send for you; DMARC sets a policy. Add only one SPF record per domain.
  4. 4Verify — click once the records are saved at your registrar. If it's too soon, wait a few minutes and use Re-check.

Already using Google or Microsoft for this domain?Remove their MX records first. If an old MX (like aspmx.l.google.com) is left at the same or higher priority, verification will fail and mail can still be intercepted by the old provider. See “Domain won't verify (multiple MX)” for the exact fix.

Step 7. Create your first mailbox

With your domain verified, open Mailboxes and create an address. Set a password (or let SyncGaze generate one) and share the sign-in details with the person who'll use it.

  1. 1Address — the part before the @. The domain is fixed to one you've verified.
  2. 2Storage — how much space this mailbox gets, within your plan's allowance.
  3. 3Create — SyncGaze shows the sign-in details once. Copy them and send them to the mailbox owner; they sign in at mail.syncgaze.in.

This address already existsAn alias or mailbox already uses that name.Pick a different address, or check Aliases if the name is taken by a forwarder.
